What it is
A booking page of your own, open all hours
JobFlow's online booking (Book online in the app) is built into the same diary your office books from. Your customers open your own booking page, at jobflow.ie/book/ followed by your company's name, with no account and no password. They put in their Eircode, pick a morning or afternoon your team has free, and pay in full by card, Apple Pay or Google Pay, straight into your own Stripe account. The booking lands in your diary as an ordinary booked job, marked Paid online, and the customer gets a confirmation email straight away.
It's made for the jobs customers already ring to book: one visit at a set price, like an annual boiler service. Anything you'd quote for first stays with your office, and a customer who can't book online reaches you as a New enquiry instead of giving up.
How it works
Three steps on a phone, then a paid job
Your logo and name lead the page, with your phone number for questions. Offer more than one service and they choose one first, with every price shown including VAT.
1
Where
They type their Eircode and it's checked by itself, with no button to press. Inside the distance you travel, they see We cover your area and carry on.
Eircode → We cover your area
2
When
They pick a morning or afternoon, from a list or a calendar. Only times your team really has free are offered, read live from working hours, leave, booked visits and the travel between jobs.
List or Calendar → Tue · Morning
3
Your details and pay
Name, mobile and email, then Apple Pay, Google Pay or a card. The button names the amount, like Book and pay €180.00, and their time is held while they pay.
Book and pay → You're booked
After they book
Booked, paid and in the diary
“You're booked”
The customer's screen says You're booked, with an Add to calendar button, and a confirmation email arrives straight away with the details, their right to cancel and a link to their booking.
An ordinary job in your diary
It lands as a booked job with its source as Online booking and its money as Paid online, so nobody in the office wonders if the slot is real. The day-before reminder and On my way go out as for any visit, if you use them.
Invoiced when the work's done
Complete the visit and the customer is emailed the invoice, marked paid, with a receipt. Agreed an extra on the day? The invoice asks for the difference, with a Pay button.
What you control
Your rules, set once
It's all on one settings page, Book online. Nothing changes for your customers until you switch it on.
Services built on your job types
Each service takes its price, VAT and length from one of your job types. Add the name customers see, what's included and up to five On the day lines, and switch each service on or off.
Who does each service
Everyone, or just the people you pick. Set the most online bookings each person can take in a day, so there's room left for the work you book yourself.
How far you travel
A distance in km from your base or one of your locations, as the crow flies. Every Eircode is checked against it before the customer sees a single time.
Mornings and afternoons
Morning is 8am to 12pm and afternoon 12pm to 5pm, unless you change them. Choose how soon customers can book, from tomorrow to a week ahead, and how far ahead they can go.
Your cut-off for changes
Customers can move or cancel online until the time you choose, 24 hours before the visit unless you change it. Add your own lines to the terms, and preview them first.
Your link, everywhere you are
Copy your link, print its QR code, paste a button into your website, share it on WhatsApp, or follow Add to Google to put it on your Google Business Profile.
A fixed-price visit like a boiler service is the natural fit: see how it lands for heating engineers, plumbers, cleaning companies, pest control and garden maintenance. Online bookings sit in the day like any other visit, so the route planner orders them with the rest, and when the work is done the money side carries on into invoicing. Our guide to taking deposits covers the Irish cancellation rules that come with taking money up front.
What happens when
No dead ends, and no awkward refunds
A customer who can't book still reaches you, and changes look after themselves up to your cut-off.
Every dead end becomes an enquiry
They're outside your area
The page says it's further than you travel for online bookings, or that it can't find their Eircode, and offers to send you their details instead. You get a New enquiry with their name, mobile, email and note.
No time suits, or they need something else
They can ask you for another time, or about work you don't offer online, and it reaches you as a New enquiry, so the customer after an install still gets through.
They started paying but didn't finish
By the next morning they're a New enquiry for the office to ring, with the service and time they wanted. Nothing is sent to them, and the unfinished payment is cancelled.
Changes, cancellations and refunds
They need another time
From their booking link, they move it to any time someone is free. The office is told, and so is anyone whose day changed.
They cancel
Up to your cut-off, cancelling refunds the whole payment automatically. After it, or once the visit is on a route, they're asked to ring you.
You cancel
Cancelling a job paid online offers the refund, already ticked. Untick it to deal with the money in Stripe yourself.
The visit is within 14 days
For a visit in the next 14 days, one line above the pay button says that by booking, they're asking you to come within their 14-day cancellation period. There's nothing to tick.
Who it suits
Made for fixed-price visits
If you'd quote the same price to anyone who rang, customers can book it online.
Good to book online
One visit, one price, one length.
Annual boiler services, gas or oil
One-off cleans at a set price, like an oven clean
Pest treatments, like a wasp nest
One-off garden jobs, like a lawn treatment
Better booked by your office
Work that needs a look or a quote first.
Installs and replacements
Anything you quote for first: a job type that starts with a quote can't be booked online
Same-day callouts: the earliest online booking is tomorrow
Those customers aren't lost: they can ask you from the booking page instead, and their details reach you as a New enquiry.
Straight answers
Online booking questions, answered
Can customers book and pay online with JobFlow?
Yes. With JobFlow's online booking (Book online in the app), customers book and pay for a fixed-price service, like a boiler service, on your own booking page, at jobflow.ie/book/ followed by your company's name. Their Eircode is checked against how far you travel, they choose a time your team has free, and they pay the full price up front. The booking lands in your diary as a booked job marked Paid online.
Do customers need an account or an app to book?
No, customers don't need an account, a password or an app to book online with JobFlow. The booking page opens in the browser on any phone or computer, the customer books in a few short steps, and they're emailed the details straight away, with a link to come back to if they need to change anything.
Can customers cancel an online booking and get a refund?
Yes, customers can cancel an online booking themselves and get the whole payment back automatically, up to your cut-off, which is 24 hours before the visit unless you change it. Until then they can also move the booking to any time your team is free. After that, or once the visit is on a route, they're asked to ring you.
What if the customer is outside my area?
A customer outside your area can't book online, but their details still reach you as a New enquiry. Their Eircode is checked against how far you travel, in km from your base, and if they're further out the page offers to send you their name, mobile, email and a note instead. The same happens when no time suits or they need something you don't offer online.
Can I add online booking to my website and Google Business Profile?
Yes, your booking link can go on your website, your Google Business Profile, WhatsApp and a QR code. JobFlow gives you a button for your website that opens your booking page, and Add to Google shows you how to add the link to your Business Profile. The booking page is public, so it can appear in Google search too, and Last 30 days shows which link each booking came from.
Does JobFlow take a cut of booking payments?
No, JobFlow takes no cut of online booking payments. The customer pays you, straight into your own Stripe account, and you pay Stripe's standard card fees as on any card payment, with no JobFlow margin on top. Online booking is part of the one plan at €59 a month plus VAT, not an add-on.
Do I need a Stripe account to take online bookings?
Yes. JobFlow's online booking needs your own Stripe account connected, because customers pay you directly through it, by card, Apple Pay or Google Pay. Before you switch on, a short checklist also asks for your company details, where you travel from, at least one service, your working hours and your JobFlow plan or trial.
Can customers book a same-day callout online?
No. The earliest online booking is tomorrow, so same-day callouts stay with your office. You choose how soon customers can book, from tomorrow to a week ahead, and how far ahead they can go.
Can customers book installs online?
No. Online booking is for fixed-price services, so installs and anything you price after a look stay with your office: a job type that starts with a quote can't be offered online. A customer after one can still ask you from the booking page, and it reaches you as a New enquiry.
How does online booking know when my team is free?
JobFlow reads your diary live, so customers are only offered times your team really has free. It checks each person's working hours and leave, the visits already booked and the travel between nearby jobs, then holds the chosen time while the customer pays. Someone off for the day? Add their leave and they aren't booked that day.
Booked and paid online, then invoiced when the work is done.
