The three ways quotes cost you money

Quotes written at the kitchen table at 10pm

Your price list lives in JobFlow: fixed prices, per-quantity and hourly rates. Building a quote is picking lines, not typing them. Do it from the van before you've left the street.

“Did they ever come back about that quote?”

Every quote has a status, and when one starts going quiet, JobFlow flags it before it goes cold. No more jobs lost to a forgotten follow-up call.

Accepted on a phone call, disputed on the invoice

The customer accepts online, no login needed, against the exact written quote. If the price changes later, a new version is issued and the old one is kept. Everyone is looking at the same numbers.

From priced up to booked in

Three steps, one afternoon

The same quote the whole business works from: the office builds it, the customer accepts it, and the deposit turns it into a booked job.

1

Build it from your price list

Pick the lines, set the quantities, and the correct Irish VAT is applied per line automatically. Job templates mean a standard boiler service or a rewire starts mostly written.

price list → lines → priced
2

Send it where they'll see it

Quotes go by WhatsApp or email, and the customer opens a clean acceptance page with no login. They can accept on the spot, or decline with a reason, which cancels the job tidily and tells the office why.

WhatsApp → opened → accepted
3

The deposit books the job

Take a deposit as a percentage or a fixed amount, by card through your own Stripe account, bank transfer or cash. Require it before the job can be scheduled, and it comes off the final invoice automatically.

How quoting works in JobFlow

Price list and job templates

Your rates in one catalogue: fixed, per-quantity or hourly. Templates for your standard jobs so quotes start pre-built.

WhatsApp and email delivery

Quotes arrive as a real WhatsApp message with the acceptance link, with email as the fallback. The chat history stays on the job.

Online acceptance, and honest declines

No login for the customer. Accepts are captured against the quote they accepted; declines capture a reason and a message, so you learn why you lost it.

Quote versions that keep the history

Scope changed? Issue a revised quote and every previous version is kept as issued. If the price on a sent quote moves, JobFlow warns you before you resend, showing what you sent, when, and what it would be now.

Deposits with rules you set

Percentage or fixed, a minimum job value before deposits apply, a 14-day expiry on the payment link, and the option to hold scheduling until the deposit lands, as a warning your office can override or a hard block. Receipts issued, deposit deducted from the final invoice.

PO numbers for business clients

Working for a property manager or a main contractor? Record their purchase order number, the reference their accounts department needs, on the quote and it carries through to the invoice.

Not sure what to put on the quote in the first place? Our guide to pricing a job covers what an hour really costs, markup versus margin, and the VAT rule for quoting householders, and taking deposits covers how much to ask for and the Irish cancellation rules that come with it. It lands differently by trade: see plumbing and solar installers.

Straight answers

Quoting questions, answered

Is JobFlow suitable quoting software for Irish trades businesses?

Yes. JobFlow is Irish-built software for trades and service businesses: quotes built from your price list with the correct Irish VAT on every line, sent by WhatsApp or email, accepted online, with deposits that book the job.

How much does quoting software cost?

JobFlow is one plan at €59 a month plus VAT, including two users, then €10 a month per extra user. Quoting, invoicing, scheduling and everything else is included; nothing is sold as an add-on.

Can customers accept a quote online?

Yes. The customer gets a link by WhatsApp or email and accepts on a clean page with no login. They can also decline with a reason, which cancels the job and notifies the office, so you always know where a quote stands.

Can I take a deposit with a quote?

Yes. Set a percentage or a fixed amount, take it by card through your own Stripe account, bank transfer or cash, and require it before the job can be scheduled if you want. The payment link expires after 14 days, and the deposit is deducted from the final invoice automatically.

The quote is step one. Payment links and automatic reminders are how it gets paid.
